What to Expect During a Professional Refrigeration Installation

Planning a new refrigeration system? Whether you are fitting out a restaurant kitchen, upgrading a cold room or adding display chillers to a shop, a professional refrigeration installation is what decides how reliably and efficiently your equipment runs for years to come. This guide walks you through each stage, from the first site visit to handover and aftercare, so you know what to expect and how to prepare.

1. Initial Consultation and Site Survey

Every project starts with understanding how your business uses refrigeration. An engineer will visit your premises to look at the space available, the products you need to store, your daily stock turnover and how often doors will be opened during service. They will also check electrical supply, ventilation and the best positions for condensing units, which often need to sit outside or in a well-ventilated plant area.

This survey matters because an undersized system works harder than it should, wears out sooner and struggles to hold safe temperatures at busy times. An oversized system wastes energy and money. Getting the specification right at this stage protects both your stock and your energy costs.

2. System Design and Quotation

Once the survey is complete, your installer will recommend the right equipment, whether that is a walk-in cold room, freezer room, reach-in cabinets, display chillers or a remote condensing set-up. A clear quotation should set out the equipment, pipework routes, electrical work, refrigerant type, timescales and warranty terms, so there are no surprises later.

This is also the time to ask about energy efficiency. Modern systems use lower-impact refrigerants, smarter controls and better insulation, all of which reduce running costs over the life of the equipment.

3. Preparing Your Premises

Before installation day, you will usually be asked to clear the work area, arrange access for engineers and equipment, and plan around your trading hours. For restaurants, cafés and commercial kitchens, installers can often schedule work for quieter periods or out of hours to keep disruption to a minimum. If you are replacing an existing system, plan where stock will be kept while the old equipment is removed.

4. Installation Day

On site, the team will position the equipment, run and braze the refrigerant pipework, connect drainage and electrics, and fit controls and temperature monitoring. Because commercial refrigeration involves handling refrigerant gases, the work must be carried out by F-Gas certified engineers. Preferred Cooling is FGAS certified, so every installation meets current UK regulations.

Once everything is connected, the system is pressure tested to confirm there are no leaks, evacuated to remove air and moisture, and then charged with the correct amount of refrigerant.

5. Commissioning and Testing

Commissioning is where the engineer confirms the system performs as designed. They will check operating pressures, temperatures, defrost cycles, alarms and controls, then let the system run until it reaches and holds its target temperature before stock goes in. You should receive commissioning records and any F-Gas documentation required for your equipment.

6. Handover and Staff Guidance

A good installer will show you and your team how to use the controls, read temperatures, respond to alarms and carry out simple daily checks such as keeping door seals clean and condenser coils clear. Small habits like these make a big difference to reliability and food safety.

7. Aftercare and Maintenance

Installation is only the beginning. Planned preventative maintenance keeps your system efficient, spots worn components early and helps you avoid costly breakdowns during peak trading.
